At the start of 2025, we recognised the need to sharpen our operational focus as Definition Surveying continued to grow in scale and complexity. To support this, we welcomed a dedicated Operations Manager to lead and refine the way we work across all five of our office locations. This role was introduced to bring greater consistency and clarity to daily operations, while giving our directors more time to focus on strategic leadership.
Clear Processes, Shared Understanding
The Operations Manager works closely with our Administrator and all three Directors to ensure processes remain practical and aligned with our long-term goals. Monthly project review meetings with each Project Manager provide a platform to assess project health and identify any actions that may require support from the wider team.
Using Systems to Drive Performance
We have also placed more emphasis on how we use our systems to support delivery. Total Synergy plays a central role in project planning, budgeting, and performance tracking. Over the past year, we have worked directly with the Synergy team to unlock more value from the resourcing tool, making it easier for each team member to take ownership of their workload and see how it connects to project outcomes and business development.
Safety at the Core
Health and Safety remains a cornerstone of our daily operations. Compliance is reported at monthly team meetings and is a standing agenda item for discussion and sharing lessons learned. Positive reporting and near-miss conversations are encouraged and celebrated to strengthen a culture of safety throughout the business.
Maintaining Quality in the Field
Consistency and quality are supported by robust QA processes. Our teams ensure equipment is maintained and calibrated, vehicles are inspected monthly, and site risks are managed with Site App Pro for project safety plans and pre-start forms for every visit. Our Technical Director, Dan, leads regular training sessions to lift capability and address challenges as they arise.
Learning from Clients
Client feedback is another important driver of improvement. Our Project and Client Director, Anton, checks in with clients during and after delivery, shares learnings with the team, and highlights successes through our internal communications and social media. These conversations keep us responsive and ensure we celebrate what’s working well.

Together, these systems and practices allow us to operate efficiently while continuing to evolve. They help us deliver consistent results, share knowledge across locations, and give our people the tools they need to contribute confidently to our shared goals.
